How Can I Create and Configure Leave Types?

Within Vacation Tracker, you are able to create different leave types depending on the needs of your organization. Some of the most common ones are:

Paid Time Off
Sick Day
Working from Home

Each leave can be connected to different leave policies that are assigned according to location. The leave policies include options such as "Approval Required"; "Allowing Negative Balance"; "Allow Half-Days"; etc.


Let’s begin!



Go to the Vacation Tracker Dashboard - https://app.vacationtracker.io/signin

On the left-hand side, under Settings, click on Leave Types

Once on the new page, on the top left-hand side click the Create a Leave Type button

A new pop-up will open which you will be able to fill in according to your preferences:



Under Name you would put the name of the leave

You can personalize the leave by picking a color (this color will display on the calendar view)

Finally, you can set the default leave type status that will show in the personal calendar connection for the users. This status is used for the personal calendar connection; for more information, please see the following link: How Do I Connect My Personal Calendar to Vacation Tracker?

Please note, this status can be overwritten any time a user applies for a leave.

For Slack integrations, an option to set the Leave Type as a Slack Status will also appear in this window. For more information on assigning a Slack Status, please see this guide: Can Leave Types Automatically Update My Users' Slack Statuses (Slack Status Update)?

Once you are done editing the information click Save.

After saving the Leave Type you created, you will also have the option to add a Leave Policy immediately.


Add the Locations where this Leave Type will be assigned to




Configure the settings for the leave policy and apply the Yearly Leave Quota.



Approval Required - you can turn this option on if the leave requires an approval from a manager.

Allow Negative Balance - gives you the option to allow your users to apply for leave even after they have used up their quota.

Unlimited Quota - you would turn this option on if you have a policy that grants unlimited leaves.

Yearly Leave Quota - if you’re looking to set a quota of days you would edit it here.

Shortest Leave Duration - indicates the minimum amount of time a leave can be requested for this leave type. Under the Core plan, the shortest leave duration can be set to Half-day. Under the Complete plan, the shortest leave duration can be set to Hourly.

If you require your users to include additional information when applying for a leave, you would tick off the Reason Required option.

The Hide Leave Type option hides the name of the leave from all of the regular users in order to provide additional privacy.

The Edit and Request Past Leaves option allows users to request and edit past leaves.

Last but not least, the Brought Forward Settings is where you can set how many leftover days should be brought forward to the following year for this leave type, for this location.



Once you are done editing the information click Create and Assign The information will be saved and you will be able to see the new leave type and locations that it has been assigned to!




If you would like to edit or delete any of the leave types, you can easily do so by clicking on the three dots (...) on the right-hand side of any leave and selecting the Edit or Delete option.
