Why did a leave request expire (Leave Expiration Rules)?

Within Vacation Tracker you may notice that either your leave (if you’re viewing as a User) or a user’s leave (if you’re viewing as an Admin/Approver) has expired. If the leave has expired, it means that it hasn’t been responded to on time.

A leave request can either expire if the end date of the leave requested has passed or if 10 business days have passed since the request was sent.




Example of a leave request where the end date has passed:


A leave request is sent by a User on Monday, June 5th for Wednesday, June 7th

An Approver receives the request but does not respond.

At the end of the day (00:00) on Wednesday, June 7th the request will expire.


Example of 10 business days that have passed since the request was sent:


Please note, Vacation Tracker does have automated reminders that follow this same flow so that Approvers can respond.

A leave request is sent by a user to their Approver(s) on Monday, June 5th for a leave on July 12th .

If the request is not responded to (approved or denied) right away, the first reminder is sent the next business day (June 6th in our example).

If the request has still not been responded to (approved or denied) after 3 business days, a second reminder will be sent (June 8th in our example).

If the request has not been responded to (approved or denied) after 5 business days), a third and final reminder will be sent (Monday, June 12th in our example).


For leave requests that have an end date in the past (for Users that can request leaves in the past) leave reminders will follow the same flow and expire 2 business days after the final reminder (a total of 10 business days after the request has been sent).
